A good starting point is a repeatable process with an identifiable owner, accessible source information and a way to check whether the result is useful.
For example, a team might explore drafting a response for review, moving approved information between tools or preparing a document from structured inputs. These are possible applications, not claims of client results.
If the process is unclear, the data is unreliable or the consequences cannot be safely reviewed, the first step may be improving the process itself.

01 / Map the work
Describe the steps, systems, people and exceptions. Agree a starting measure, such as handling time or the amount of rework, and define what success would mean.
02 / Agree a small scope
Document the proposed workflow, access requirements, human approvals, exclusions and deliverables. Timelines and fees depend on that scope and are agreed before implementation.
03 / Test a pilot
Use approved examples to check ordinary tasks and failure cases. Compare results with the agreed baseline, include the time spent reviewing output and decide whether to continue, change direction or stop.
04 / Hand over deliberately
Agree documentation, team instruction, an accountable owner and how to pause or recover the workflow. Confirm any monitoring, maintenance and follow-up arrangements as part of the engagement.
Preparation and duration
Bring the problem first.
Start with a short description of the task, the tools involved and who performs it. A sanitised example and an estimate of how often the task happens will help the first conversation.
Do not send credentials, personal information or confidential client records with your enquiry. We agree which information and access are needed after reviewing the scope.

Privacy and oversight
Know what goes where.
Before using business information, agree the tools, permitted data, access permissions, retention settings and responsible people. Provider settings and contractual terms need checking for the specific workflow.
AI can produce incorrect or incomplete output. Define human review for consequential decisions and approval before actions such as sending messages or changing records.
Agree how exceptions are reported and what happens when a tool is unavailable. No system should be treated as accurate or safe simply because a demonstration worked.
What you can expect
A decision you can explain.
The agreed scope may include a workflow map, a pilot, evaluation findings, operating instructions and a handover. An assessment may also conclude that automation is not the right next investment.
